Job Description

Summary: The Office Administrative Assistant supports the Waste Division by providing administrative, reception, and accounts receivable (AR) support. This role ensures the accuracy of daily operations, customer billing, and office coordination. The position works closely with customers, vendors, and internal teams including the Office Manager, Operations Manager, Division Manager, Sales, Supervisors, and Operators.

Duties & Responsibilities:
Accounts Receivable
  • Track daily costs by equipment, materials, and labor; enter into FieldPoint and/or Excel.
  • Convert daily work orders to invoices in NetSuite.
  • Ensure all invoices include proper Purchase Orders before submission.
  • Distribute invoices via mail or email upon approval.
  • Process customer-specific work orders in various systems (Excel, Ariba, Track, etc.).
  • Prepare and review Aging Reports to monitor past-due accounts.
  • Partner with Account Managers to resolve receivable issues and collect outstanding balances.
Administrative Support
  • Maintain organized filing systems (electronic and physical).
  • Answer and direct incoming phone calls with professionalism and courtesy.
  • Greet and support office visitors with a positive and welcoming demeanor.
  • Provide general administrative support to the division as needed.
Other Responsibilities
  • Learn company operations and systems quickly and apply them effectively.
  • Meet all daily, weekly, and monthly deadlines.
  • Perform other duties as assigned.
  • Demonstrate strong problem-solving skills and attention to detail.
  • Be dependable, adaptable, and willing to work additional hours as needed.
Job Requirements:
  • Experience in an industrial environment (required).
  • Prior accounts receivable experience (preferred).
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word).
  • Experience with NetSuite and/or FieldPoint (a plus).
  • Strong time management and organizational skills; ability to prioritize effectively.
  • Excellent written and verbal communication skills.
  • Working knowledge of standard office equipment (phones, printer, scanner, fax).
  • Must be a self-starter, reliable, and able to work independently in a fast-paced environment.
  • Must pass background check and pre-employment drug screening.
Pay Rate Range: $20.00 hr. - $22.00 hr. (Depending on level of experience)
Days: Monday through Friday
Hours: 7:30 am to 4:00 pm
